At SLOW we want everyone who comes to us for support or supports us, to feel confident and comfortable with how any personal information you share with us will be looked after or used.   The purpose of this policy it to explain when and why we collect your personal information and how we use it.  SLOW takes appropriate technical and organisational measures to keep your data safe, so we may change this Policy.  Do please check our website from time to time to ensure that you’re happy with any changes. By using our website, you’re agreeing to be bound by this Policy.

Who we are

SLOW – Surviving the Loss of Your World – is a UK charity for bereaved parents and their families.  We provide support groups for bereaved parents in London when a child has died in the family as well as creative workshops for siblings.  SLOW is a registered charity in England and Wales (1161337).

What personal information we collect and how we use it

We collect your personal information in a number of ways for example when you make an enquiry about our activities, take part in our support meetings and events and when you make a donation.  By submitting this personal information, you enable us to provide you with the information or services you have requested.

Information we collect initially includes name, address, phone number and email address. Additional data will be collected from those who access our support groups.  This information will not be shared, unless previously agreed, and is only available to those staff involved in the running of support groups and for supervision.

This could include, if provided:

  • Date of Birth
  • Ethnicity
  • Doctor’s details
  • Details about your child who has died
  • Member quotes (with prior consent given and without personal or contact details stated)
  • Case studies (with prior consent given and without personal or contact details stated)
  • Internal reports about the support groups
  • Photographs (only used with the subject’s permission).

In certain circumstances, we may have concerns about your safety; such concerns always outweigh consideration of confidentiality. Particularly if we feel there may be a threat to yourself or others.

You can change how we contact you at any time, by sending an email or calling us on the details below.

How long do we keep your information?

We will retain your information for as long as is necessary to support you and your family. 

Children’s Data

We hold personal information relating to children when they attend our sibling workshops (SLOWsibs).  These details are provided in the unlikely event that emergency contact needs to be made with the parents while they are at a sibling group.  These contact details are kept securely and only accessible to those working with children at these events.  We also request prior approval to photograph your child at these events. 

Third parties

We may receive your information from a third party when you fundraise for us or make a donation.  These organisations will have their own data protection and privacy policies which you should be aware of before signing up. 

SLOW’s website contains links to third-party sites.  SLOW is not responsible for the privacy policies and/or practices on other sites.

SLOW will not process any third-party requests.  Any information shared or processed for our services can only be sent to those requesting it.

How we use your personal information for marketing

We will only send you marketing or fundraising emails when you have given us your consent to do so. You can stop receiving these at any time by clicking on an ‘unsubscribe’ link at the bottom of any marketing email you receive from us.  We will never sell your information or share it with other organisations for their marketing purposes.

Your rights

As a Data Subject, you have a right to know whether or not SLOW holds any personal information about you. This is known as a Subject Access Request.

  • The right to rectification – this just means you can update your data if it’s inaccurate or if something is missing.
  • The right to erasure – this means that you have the right to request that we delete any personal data we have about you.
  • The right to restrict processing – if you think that we are not processing your data in line with this privacy policy then you have the right to restrict any further use of that data until the issue is resolved.
  • The right to data portability – this means that if you ask us, we will have to share your data with you in a way that can be read digitally – such as a pdf. This makes it easier to share information with others.
  • The right to object – you can object to the ways your data is being used.
  • Rights in relation to automated decision making and profiling – this protects you in cases where decision are being made about you based entirely on automated processes rather than a human input, it’s highly unlikely that this will be used by us.
